Background
We are applying the proposal based of our research in need to redesign the school meal ordering system from client's request. The existing process rely on WhatsApp communications, where school staff would place daily food orders for student meals. This manual system created significant frustration as clients couldn't monitor their order status or understand whether their requests were being processed or delivered.
The WhatsApp-based system often gives inefficiencies. Staff struggled to edit order details within chat messages, often leading to miscommunication and incorrect meal preparations. Every single day, school staff had to manually input detailed information including portion quantities, individual student allergies, and other specific meal preferences. This repetitive process affected several schools simultaneously, managing orders about hundreds of students daily. All communications had to be completed before 9 PM the day prior to delivery, creating intense time pressure and leaving no room for last-minute adjustments.
Project Challenges
Our challenge was vary: develop a system that would streamline daily ordering with one-click functionality, provide intuitive navigation for preference editing, eliminate rigid time constraints, and offer real-time delivery tracking with live location updates, while removing the need for constant phone calls to check driver locations.
Work output
Although the proposal wasn't fully accepted, we manage to solve each problems through our design solutions. School staff now have complete visibility from order placement to delivery, with customizable templates enabling one-click processing for routine requests. Individual student profiles automatically populate with allergies and preferences, making adjustments seamless. The integrated live-location tracking provides real-time delivery updates and estimated arrival times, completely replacing the chaotic WhatsApp system with a stress-free experience.
